Multi-Category Port Procurement RFQ Checklist

How overseas port companies can structure a mixed purchasing list so suppliers and supply chain coordinators can compare the same requirement.

Reviewed by the LE PEI Supply Chain Team · Updated September 2026

A mixed port procurement request can include maintenance tools, handling equipment, project materials, consumables, temporary facilities, branded spares and OEM products. If each line item uses a different naming convention or leaves key assumptions open, quotations will not be comparable. The purpose of an RFQ checklist is to make missing information visible before price becomes the only comparison.

1. Identify the operational context

State the requesting department, intended use and destination for each item. A product used in a workshop may have different environmental, electrical, safety or documentation requirements from one used outdoors, on a quay or in a regulated application.

2. Control the item description

Use one line for each distinct specification. Include model or drawing references, dimensions, material, rating, performance, interface, power supply, finish and applicable standards where relevant. Mark document revision numbers. If the specification is incomplete, list the open point rather than inviting silent assumptions.

3. Separate brands from technical requirements

Indicate whether a brand is mandatory, preferred or simply an example. State whether established unbranded alternatives are acceptable and whether OEM development is in scope. This distinction allows buyers to protect authenticity, compatibility or warranty requirements without preventing legitimate alternatives on less critical items.

4. Add quantity, priority and required date

Quantity alone does not show urgency. Classify items by operational criticality and identify the date required at destination, not only the supplier’s dispatch date. If partial delivery is acceptable, say which lines may move first.

5. Define quality and document evidence

Specify the inspection level, sample or first-article approval, functional checks, photographs, packing verification and certificates required for the actual product. Requirements should be proportionate to technical, safety and commercial risk.

6. Provide logistics information

Include destination, consignee constraints, preferred transport mode if known, packaging or marking instructions and any deadline connected to a vessel, shutdown or project milestone. Product price cannot be evaluated properly when packaging, consolidation and delivery conditions are missing.
